Firstly, you will need to ensure that your units have a requalification period set
You can check this by going to the 'Units of Competency' screen from the 'Configuration' menu, finding the unit in question and then checking the 'Requalification Period'
If a period is already entered, great! If not, you can add one by clicking on the 'Edit' button, selecting the appropriate requal period and then clicking on the 'Save' button
Once confirmed, you can then use the 'Email in Bulk' feature from the 'Tools' menu to email all clients who are due for refresher training
The caveat to this is that this can only be done using SMTP (Simple Mail Transfer Protocol) - please talk to your IT Team/Service Provider who can provide you with the SMTP Server details
You will need to copy the SMTP details into the appropriate fields by clicking on the 'Bulk Email Config' button located in the bottom left corner of the 'Bulk Email' screen
Below shows the information required for SMTP setup:
In 'Mode', select 'Refresher' from the drop-down list, then select the unit from the drop down list - if your unit is not appearing then no requal period has been set and you need to go back and check this
Select the period when the refresher is due to expire, then click on the 'Apply/Preview' button to display a list of clients
You can pick and choose which clients will be sent an email using the checkbox on the side
Click on the 'Compose' tab to create the email that will be sent to clients
The functionality is similar to the 'Email Clients' function in the 'Enrolments and Results' screen, including the use of email templates
Note that the 'Subject Line' and 'Email Body' are mandatory
When happy with the email composition click on the 'Send' button to send to the clients selected on the list
A 'Contact Log' will also be created for each client
